Is there an official S2K Enterprise + HubSpot integration?

No. Neither HubSpot nor VAI publishes an S2K Enterprise app in the HubSpot App Marketplace as of September 2026, and a search for VAI returns apps from an unrelated company. The route we recommend is a custom API integration against the S2K REST APIs, built in the sandbox VAI includes, at 70 to 150 build hours. VAI lists a Salesforce connector but none for HubSpot, so the endpoint reference has to come from VAI first.

Why teams connect S2K Enterprise to HubSpot

S2K Enterprise is VAI’s ERP for wholesale distributors and manufacturers, with editions for food and pharmaceutical distribution. It runs order management, pricing and promotions, the warehouse and a customer portal, and VAI implements and supports it directly rather than through a reseller. A distributor on S2K is used to one vendor answering for all of it.

The HubSpot request comes from the commercial side. Reps want order history, open quotes and invoice status on the company record before a call, instead of phoning the office to ask what an account bought last month. Marketing wants to segment by what customers buy, not by a list someone exported last quarter. Both groups want that without a concurrent user seat in the ERP or a login to the portal VAI built for customers. VAI’s pricing counts concurrent users, so a seat for every rep is a real cost.

S2K already reaches beyond the ERP. VAI lists REST connectors for Shopify, Magento, Salesforce and Amazon, an S2K Marketing Cloud built on ActiveCampaign, and Outlook and Gmail sync in S2K CRM. HubSpot is missing from that list, so the connection is a project rather than a setting. The first thing it needs from VAI is the API reference behind those connectors.

What syncs

Four objects carry what reps and marketers ask for. S2K customers become HubSpot companies, customer orders become deals, invoices land on a custom object and items become products. Everything moves one way, into HubSpot, and S2K stays the system of record for every document.

Keys are S2K’s own identifiers, held in custom HubSpot properties and never matched on names. VAI does not publish the object model behind its APIs, so the exact identifiers come from the reference VAI supplies and are checked against records the business already knows.

Pricing stays out. S2K prices by customer, contract and promotion, and the customer portal shows each buyer their own prices. A HubSpot product carries list data only, so a rep never quotes from a price that belongs to somebody else. Contacts join the object list once VAI confirms how the APIs expose them, because a guess about where S2K keeps its contacts is how duplicates start.

Objects that sync between S2K Enterprise and HubSpot
Source object HubSpot object Direction Match key Notes
Customer Company Into HubSpot The S2K customer's own identifier, held in a custom HubSpot property Customer pricing and contract terms stay in S2K.
Customer order Deal Into HubSpot The S2K order's identifier S2K keeps the order as its system of record, so the deal is read only in HubSpot.
Invoice Custom object Into HubSpot The S2K invoice's identifier, associated to its order and customer
Item Product Into HubSpot The S2K item's identifier List data only, because S2K prices by customer, contract and promotion.

Architecture

The runtime is a polling sync, since VAI documents no webhooks or change events for outside systems. A service authenticates the way VAI’s reference specifies, reads each object on a schedule, and keeps a checkpoint per object so a restart resumes rather than reloading everything.

If the APIs can filter on a last-changed date, each read starts from the checkpoint. If they cannot, the service compares each record with a hash of the version it last sent and forwards only real changes. Writes into HubSpot are batch upserts on the S2K identifiers, then a separate association pass that links orders and invoices to their companies. A reconciliation step compares counts on both sides after every run, and the whole service is built and rehearsed against the S2K sandbox before it reads live data.

S2K runs on-premise, in the cloud VAI hosts or in a hybrid of the two, with the same software in each. Where it runs decides the network path rather than the design: the service stays the same, and only the route to the APIs changes.

A scheduled service reads the S2K REST APIs once VAI supplies the reference, keeps a checkpoint per object and upserts into HubSpot on S2K's own identifiers. It is built and rehearsed against the sandbox VAI includes.

Three ways to connect

Every route here waits on the same thing: VAI’s API reference and credentials. With those, a service we build is the most direct route, and it can be built and rehearsed in the sandbox VAI includes at no extra cost.

VAI lists Cleo as an iPaaS partner for data exchange and EDI. A distributor already running Cleo can weigh a HubSpot flow there instead, once Cleo’s HubSpot support is confirmed. The third option sits outside these cards: ask VAI’s own programmers, who change the software for customers and ship its connectors, to build the HubSpot connection inside S2K. That keeps support in one place, with a roadmap that belongs to VAI rather than to you.

  • iPaaS

    Possible

VAI lists Cleo, an iPaaS for data exchange and EDI, among its integration partners. A distributor already running Cleo can weigh a HubSpot flow there, after confirming Cleo's HubSpot support.

  • Marketplace app

    Avoid

There is no S2K app in the HubSpot App Marketplace, and the connectors VAI documents name Shopify, Magento, Salesforce and Amazon rather than HubSpot.

What breaks and how we prevent it

An API reference that arrives late

VAI describes its connectors but does not publish the API reference behind them, and an estimate made before the reference arrives is a guess about endpoints and filters. We ask for the reference, the authentication method and a sandbox login on the first call, and hold the build band as provisional until all three are in hand.

Customer pricing in the wrong place

S2K prices by customer, contract and promotion, and the portal shows each buyer their own prices. Copying one of those prices onto a HubSpot product would show every rep a price that belongs to one customer. Products carry list data only, and pricing questions go back to S2K.

S2K Marketing Cloud runs on ActiveCampaign, and VAI also lists MailChimp and VerticalResponse integrations. If HubSpot takes over email while another tool still sends, an opt-out recorded in one never reaches the other. We switch the old sends off at cutover, or agree which system holds consent before the first campaign.

Releases that change a response

VAI ships numbered releases, 6.3 being the latest, and its programmers change the software for individual customers. Either can change what an endpoint returns. We check the fields on the first page of every run against the agreed shape and stop on a difference rather than loading blanks.

Our approach

  1. Scope. We ask VAI for the API reference, the authentication method and a sandbox login, and agree which system owns the pipeline and consent.
  2. Architect. We fix the key per object, the change signal each endpoint allows and the association order, then write them down.
  3. Build. The service is written against the S2K sandbox and a HubSpot sandbox portal, with an allowlist that fails closed from the first commit.
  4. Validate. A full backfill of customers and invoice history, reconciled by count and by open balance against an S2K report.
  5. Operate. We watch each run against its checkpoint, keep a replay endpoint available, and recheck the response shapes after every S2K release.

Common questions

Is there an S2K Enterprise app in the HubSpot App Marketplace?

No. A HubSpot App Marketplace search for S2K returned five listings, all fuzzy matches, and a search for VAI returned apps from an unrelated company. VAI's own connectors name Shopify, Magento, Salesforce and Amazon. The routes that exist for HubSpot are a build against the S2K APIs, an iPaaS such as Cleo, or work commissioned from VAI's own programmers.

Does S2K Enterprise have an API for a HubSpot integration?

VAI says so. Its FAQ states that the ERP features open APIs for third-party applications, and Release 6.3 describes REST connectors that use GET, POST, PUT and DELETE and return JSON. VAI does not publish the reference, the endpoint list or the authentication method, so all three come from VAI during discovery, before any estimate is final.

Does VAI provide an S2K sandbox for integration testing?

Yes. VAI's FAQ states that a sandbox environment is included at no extra cost. We build and rehearse against it, with a HubSpot sandbox portal on the other side, so the first read of live data happens during a planned cutover. Ask early what data the sandbox holds, because thin test data hides the matching problems a real customer list shows.

How fresh is S2K Enterprise data in HubSpot?

As fresh as the polling schedule, because VAI documents no webhooks or change events for an outside system. If the S2K APIs filter on a last-changed date, the sync reads incrementally and can run often. If they do not, the service compares each record with the version it last sent, which costs more per run. The reference VAI supplies settles which applies.

What happens when an S2K Enterprise sync fails or runs twice?

A failed run stops at its checkpoint, reports the failure, and the next run resumes there rather than starting over. A second run of the same records changes nothing, because each one upserts on the S2K identifier held in a unique HubSpot property. Associations run as a separate pass, so replaying that pass cannot duplicate a link.

Should S2K CRM or HubSpot own the customer conversation?

Decide before the build. S2K's Sales Force CRM gives reps a view of customer, item, order and sales data, and syncs email and calendar events from Outlook or Gmail. S2K Marketing Cloud runs on ActiveCampaign. If HubSpot takes over marketing and the pipeline, those tools stop sending, or two systems end up holding different consent records.

How long does an S2K Enterprise and HubSpot integration take?

Plan on 10 to 20 hours of discovery and 70 to 150 hours of build for customers, orders, invoices and items, with a checkpoint per object and replay. The band stays provisional until VAI supplies the API reference, because the endpoints, the authentication and any change filter decide how much of the build is reading and how much is comparing.

Trust and compliance

We design integrations to support the security and privacy rules your business works under, and we build them on independently audited platforms.

How we build

  • Sandbox first. We build and test in a sandbox before anything reaches production.
  • Fail-closed allowlists. An integration runs only against the HubSpot accounts it is approved for.
  • Least-privilege access. Each integration gets only the API scopes it needs.
  • Secrets in a vault. Keys and tokens live in a secrets vault, never in plain text.
  • Sensitive data scoped early. Discovery covers sensitive data, access controls and any BAA or data-processing needs.
  • A compliance package for regulated industries: audit logging, field-level encryption and sensitive-data handling.
