QAD Adaptive ERP HubSpot - Into HubSpot
Is there an official QAD Adaptive ERP + HubSpot integration?
No. QAD Adaptive ERP has no app in the HubSpot App Marketplace from HubSpot or QAD as of September 2026, and a search for QAD returns only fuzzy matches. We recommend a custom API integration over the REST APIs QAD describes for its platform, at 70 to 150 build hours once your QAD documentation confirms the calls. Where you already run Boomi, which QAD embeds in its software, an iPaaS flow is the alternative.

Why teams connect QAD Adaptive ERP to HubSpot
QAD Adaptive ERP runs manufacturers in automotive, life sciences, food and beverage, consumer products and industrial manufacturing. QAD, founded in 1979, sells it as a cloud product on AWS, offers existing customers an upgrade path onto it through its Elevate program, and now pairs it with Redzone and Champion AI. The ERP holds the customer, the item and site, the sales order with its EDI traffic, and the invoice.
HubSpot comes in on the commercial side. Marketing and sales teams run campaigns, the pipeline and account planning there, and they keep needing what QAD knows: what each customer ordered, what is due to ship, and what is invoiced and still unpaid. Without a feed, that knowledge travels by spreadsheet and email, and it is stale by the time it lands. A seller preparing a quarterly review rebuilds the same picture by hand every time.
QAD’s integration story has moved quickly. Its Enterprise Platform exposes REST APIs, its Integration Platform adds standard APIs and a publish and subscribe mechanism, and a 2025 alliance embeds Boomi connectors in QAD software. What QAD does not do is publish the API reference openly, so the calls, the authentication and any limits come from your QAD documentation during discovery rather than from a public page.
What syncs
Five records carry the relationship. Customers become HubSpot companies and their contacts become contacts. Items become products. Sales orders and invoices land as custom objects on the company, because an order book fed partly by EDI and OEM packages does not belong in a sales pipeline.
Everything moves into HubSpot in a first build. QAD owns the customer, the item, the price and every document, and those stay read only in the portal. A second phase can create a customer in QAD from a won deal, once the documentation confirms which API does it and a person approves each one.
Keys are QAD’s own codes, held in custom HubSpot properties: the customer code, the item number, and the order and invoice numbers. QAD’s Core Model shares one customer and one item across its applications, which is what makes those codes dependable keys. Contacts match on email, with the customer code as the tie breaker.
| | | Direction | Match key | Notes |
|---|---|---|---|---|
| Customer | Company | Into HubSpot | QAD customer code, in a custom HubSpot property | QAD's Core Model shares one customer record across its applications, so the code is a stable key. |
| Customer contact | Contact | Into HubSpot | Email, with the QAD customer code as the tie breaker | |
| Item | Product | Into HubSpot | QAD item number | |
| Sales order | Custom object | Into HubSpot | Sales order number, associated to the company | Orders arriving by EDI have no deal behind them, so every order lives on the company. |
| Invoice | Custom object | Into HubSpot | Invoice number, associated to the company and the order |
Architecture
The shape is a polling watermark sync, with events as an accelerator where your release offers them. A service authenticates to QAD’s REST APIs as your documentation specifies, reads customers, items, orders and invoices changed since the last run, and batch upserts them into HubSpot on QAD’s codes, followed by a separate association pass. Watermarks live in the service, per record type, and per domain where the business runs more than one.
Where the Integration Platform’s publish and subscribe mechanism can notify an outside subscriber, the service subscribes and treats each event as a prompt to re-read that record through the API. The watermark sweep keeps running behind it to catch whatever an event missed. A reconciliation pass compares QAD and HubSpot counts on every run, and a replay endpoint re-reads any record type for a time range.

Three ways to connect
The deciding question is what your QAD release and licence expose, and it has to be answered from QAD’s documentation rather than assumed. A business on QAD’s cloud, one on an older release and one that already licenses Boomi each start from a different place.
A custom API integration over QAD’s REST APIs is the route we recommend. It holds the watermarks, the keys and the reconciliation in one service we run, and it can take events where they exist. An iPaaS is a genuine alternative here, because QAD embeds Boomi connectors in its software, so a business already running Boomi can host the flow there. There is no marketplace app to try first.

What breaks and how we prevent it
Estimating before reading QAD’s reference
QAD does not publish its API reference openly, so an estimate made before anyone reads your documentation is a guess about calls, authentication and limits. We read it with your QAD administrator during discovery, and confirm the build band only after that.
Events that go missing
Events can be lost or arrive out of order, and a subscriber that trusts them alone drifts away from QAD without noticing. We treat each event as a reason to re-read the record through the API, and keep the scheduled sweep running behind the events.
EDI orders outside the pipeline
QAD’s EDI module and its pre-built OEM packages, with standard EDI formats for onboarding OEM customers, bring orders in with no HubSpot deal behind them. Revenue reported from deals misses those orders. We sync every order to a custom object on the company and report the order book from there.
An upgrade that moves the interface
QAD’s Elevate program moves older customers onto QAD Adaptive ERP in its cloud, and an integration written against the old release’s interface has to be proven again after the move. We record which interface each read uses and re-test the whole feed in a sandbox before the upgrade goes live.
Our approach
- Scope. We read your QAD documentation with your administrator and confirm the release, the hosting, the domains and whether Boomi is already licensed.
- Architect. We fix the keys, the watermark per record type, the event subscription if one exists, and the custom objects for orders and invoices.
- Build. The service is written against a QAD test environment where you have one, and a HubSpot sandbox with a portal allowlist from the first commit.
- Validate. We reconcile counts per record type and open order values against QAD reports, and replay a day of events to prove the sweep catches what they miss.
- Operate. We watch run history, keep replay and reconciliation endpoints ready, and re-test the feed before every QAD upgrade.
Common questions
Is there a QAD Adaptive ERP app in the HubSpot App Marketplace?
No. A marketplace search for QAD returns only fuzzy matches, apps whose descriptions mention the term without being built for QAD, and nothing from HubSpot or QAD itself. No third-party developer lists an app named for QAD either, so the connection is a build, whether it runs as a service of its own or as a flow on an iPaaS.
Does QAD Adaptive ERP have an API?
Yes. QAD describes REST APIs and microservices in its Enterprise Platform, with entity web services generated automatically, and an Integration Platform built on standard APIs and a publish and subscribe mechanism. QAD does not publish the reference openly, so the calls, the authentication and any limits are confirmed from your own QAD documentation.
How does Boomi fit a QAD and HubSpot integration?
QAD and Boomi announced a strategic alliance in 2025 that embeds Boomi connectors in QAD software and adds pre-built integrations. If your business already licenses Boomi, the HubSpot flow can live there. The design still needs keys, watermarks, retries and reconciliation, so an iPaaS moves that logic rather than removing it.
How fresh can QAD Adaptive ERP data be in HubSpot?
Hourly on a watermark sweep, and closer to real time where your release lets an outside subscriber receive QAD's publish and subscribe events. Even with events we keep the sweep running, because it catches whatever a lost message would have carried. Freshness therefore depends on the release and licence, which discovery confirms before we promise a number.
Can HubSpot write back to QAD Adaptive ERP?
Not in a first build. QAD owns the customer, the item, the price and every order document, and a sales tool is a poor place to originate them. A second phase can create a customer from an approved won deal, once your QAD documentation confirms which API does it and what validation QAD applies on the way in.
Does the QAD cloud change a HubSpot integration?
It changes what the integration can reach. QAD runs QAD Adaptive on AWS as its cloud product, so the integration talks to QAD's APIs rather than to a database, and any access rule is arranged with QAD. Customers moving from an older release through QAD's Elevate program should re-test the feed after the move.
What happens when a QAD event is lost or arrives twice?
Nothing breaks. Each event only prompts a re-read of the record through the API, and every write into HubSpot is an upsert on QAD's code, so a repeated event updates the same record. A lost event is caught by the watermark sweep on its next run, and reconciliation reports any count that still disagrees.
How many hours does a QAD Adaptive ERP and HubSpot integration take?
The work runs to 10 to 20 hours of discovery and 70 to 150 hours of build, for customers, contacts, items, orders and invoices with watermarks, replay and reconciliation. Discovery includes reading your QAD documentation, because authentication, limits and events are confirmed there rather than assumed, and the build band holds once they are.

How we build
- Sandbox first. We build and test in a sandbox before anything reaches production.
- Fail-closed allowlists. An integration runs only against the HubSpot accounts it is approved for.
- Least-privilege access. Each integration gets only the API scopes it needs.
- Secrets in a vault. Keys and tokens live in a secrets vault, never in plain text.
- Sensitive data scoped early. Discovery covers sensitive data, access controls and any BAA or data-processing needs.
- A compliance package for regulated industries: audit logging, field-level encryption and sensitive-data handling.
