HubSpot + Plex integration

Plex runs the customer PO, its releases, the part and the invoice in a cloud ERP. What its REST API hands HubSpot, what it cannot filter, and the hours.

Is there an official Plex + HubSpot integration?

Not from HubSpot or Rockwell Automation. The HubSpot App Marketplace lists one third-party app as of September 2026, Plex SYNC, Data Lake, AI, MCP by Commercient. We recommend a custom API integration over the Plex REST API that polls each resource on its modified-date filter, within the 200 calls a minute most Plex APIs allow, at 70 to 150 build hours. Access comes first: keys exist only after Plex IAM is active and a developer portal account is granted.

Why teams connect Plex to HubSpot

Plex is a cloud ERP built for manufacturers, sold today by Rockwell Automation as the ERP inside its Plex Smart Manufacturing Platform. It models an order as a customer purchase order with sales releases scheduled against its lines, each with its own due date and ship date, and it runs production, quality and shipping in the same system. The truth about how an account is going sits in Plex, one release at a time.

HubSpot is where the relationship gets worked: the campaigns, the pipeline for new programs, the pricing reviews and the service conversations. Sellers without a Plex login cannot see any of it, so they ask a planner whether a release shipped, whether an invoice is overdue, or which parts the customer actually buys. Each question costs a planner’s time and gets its answer a day late.

What a connection has to respect first is Plex’s access model. Every API key belongs to an app created by a user who holds a developer portal account, and Plex grants those accounts only after Plex IAM is active and your Plex champion files a support ticket. Access is deliberate by design, so the plan starts there rather than at the field mapping.

What syncs

Six Plex records earn a place. Customers become HubSpot companies and contacts become contacts. Sales orders, sales releases and AR invoices land as custom objects associated to the company, because a customer purchase order that runs for months is a poor fit for a pipeline stage. The deal stays the pursuit, and parts become products.

Everything moves into HubSpot, with one exception. A customer that a won deal introduces can be created in Plex through the Sync Customers operation, which creates customers that do not exist and updates those that do. We put a person’s approval in front of it, and Plex owns the record afterwards.

Keys are Plex ids held in custom HubSpot properties, with customer codes, PO numbers and part numbers carried as readable labels beside them. Contacts need more care than the rest, because two people can share a mailbox: the Plex contact id decides the match, and the email is checked for a collision before the upsert.

Objects that sync between Plex and HubSpot
Source object HubSpot object Direction Match key Notes
Customer Company Two way Plex customer id in a custom HubSpot property, with the customer code as the label HubSpot adds a new customer only through the Sync Customers operation, after review. Plex owns it from then on.
Contact Contact Into HubSpot Plex contact id, with the email checked for collisions before the upsert The list call has no modified-date filter, so contacts are re-read for each customer that changed.
Sales order Custom object Into HubSpot Plex sales order id, with the customer PO number as the label Plex's API calls the order a customer purchase order. The pursuit stays on the deal.
Sales release Custom object Into HubSpot Release id, associated to the sales order through its order line Due date, ship date and status are what account managers get asked about.
AR invoice Custom object Into HubSpot AR invoice id, with the invoice number as the label
Part Product Into HubSpot Plex part id, with the part number and revision shown

Architecture

The runtime is a polling watermark sync, because the Plex developer portal documents no webhook or event subscription for these records. A service holds a Plex API key, sent in the X-Plex-Connect-Api-Key header, and reads each API on a schedule with that API’s modified-date filter. Each watermark is a UTC timestamp in the format Plex requires, with a time and a Z, since Plex does not support dates without times.

Reads are throttled below 200 calls a minute. Invoices are read in narrow date windows, and contacts, which cannot be filtered by modified date, are re-read for every customer that changed.

Writes into HubSpot are batch upserts on the Plex id, followed by a separate association pass: releases to orders, orders and invoices to companies. A replay endpoint re-reads any API for a time range, and a reconciliation pass compares Plex and HubSpot counts on every run. Where a business runs more than one PCN, the service sends the tenant header on every call and keeps its watermarks per tenant.

A sync service reads each Plex API on its own modified-date filter, below 200 calls a minute, and upserts companies, contacts, orders, releases, invoices and parts into HubSpot on Plex ids. Only a reviewed new customer travels back, through the Sync Customers operation.

Three ways to connect

What decides the route with Plex is how much of the order stream you want in HubSpot. Customers and contacts alone are a modest job for any tool. Releases and invoices are where the value sits and where the constraints bite: modified-date filters with different names on different APIs, a contact list with no such filter, and an invoice list that times out when asked for too much.

A custom API integration handles each of those per resource, holds its own watermarks and stays under the call limit, and it is the route we recommend. The marketplace app from Commercient is a third-party option for a standard mapping, with its runtime, mapping and support outside your team. An iPaaS bills per task, and the per-API filters and the contact re-reads become custom steps inside it anyway.

What breaks and how we prevent it

Date filters named differently per API

The modified-date filter changes name between Plex APIs: modifiedDateBegin on customers, modifiedByDateBegin on sales orders, modifiedDateTimeBegin on parts. A helper written once and reused sends a parameter the next API does not define. We map the filter per API and check that the first filtered read returns fewer rows than an unfiltered one.

Contacts with no change filter

List Contacts filters by customer, name and type, not by modified date, even though each contact carries one. A sync that expects the customer filter either misses edits or reads every contact on every run. We re-read the contacts of each changed customer, compare dates in the service, and sweep all contacts weekly.

Invoice lists that time out

Plex caps the AR invoice list at 1,000 invoices a call, fewer when invoices carry many distribution lines, and asks callers to filter to avoid timeouts. We read invoices in modified-date windows well under the cap, halve the window after a timeout, and record each finished window so a restart resumes.

API keys with an expiry date

Plex lets the key’s creator set an expiry date and recommends auditing keys at least every three months. An expired key returns 401, request not authenticated, on every call. We record each key’s expiry, alert a month ahead, and rotate with the short overlap Plex recommends.

Our approach

  1. Scope. We confirm Plex IAM is active, which PCNs are in scope, who your Plex champion is, and which of the six records the first build carries.
  2. Architect. We fix the Plex id keys, the filter name and date window per API, the call budget per minute, and the custom objects for orders, releases and invoices.
  3. Build. The service is written against the Plex test environment with its own key, and against a HubSpot sandbox with a portal allowlist from the first commit.
  4. Validate. We reconcile counts per API and open invoice totals against Plex, then review release dates with an account manager.
  5. Operate. We watch run history and key expiry dates, replay missed windows, and re-check the filters whenever Plex moves an API to a new version.

Common questions

Does Plex have an app in the HubSpot App Marketplace?

A third-party one only. Plex SYNC, Data Lake, AI, MCP by Commercient is the single listing named for Plex, and neither HubSpot nor Rockwell Automation publishes an app. Commercient owns that app's mapping, support and roadmap, so weigh it against a build on the records you need most, such as sales releases and invoices.

How do we get Plex API credentials for a HubSpot integration?

Through Plex IAM and the developer portal. Your Plex champion files a support ticket for portal access, then a user with a portal account creates an app and picks the API products it may call. The portal issues the consumer key that travels in the X-Plex-Connect-Api-Key header, and test and production need separate keys.

What rate limit does the Plex API apply?

Plex's developer portal says most APIs in its directory are limited to 200 calls per minute. Some calls add ceilings of their own: the AR invoice list returns at most 1,000 invoices a call and asks for filters to avoid timeouts. We budget calls per minute across every API and read in date windows, so a run never depends on luck.

Does Plex send a webhook when a customer or order changes?

Not that its developer portal documents. The portal lists no webhook or event subscription for customers, orders, releases or invoices, so a sync polls each API on its modified-date filter, usually hourly. Contacts cannot be filtered by modified date at all, so they are re-read for every customer that changed, with a weekly full sweep behind that.

Can a Plex integration be tested without touching production data?

Yes. Plex runs a test environment at test.connect.plex.com beside production at connect.plex.com, with the same URL structure, and requires a separate key for each. We run the full reload there first, into a HubSpot sandbox, and cut over by switching the base URL and the key.

Where do Plex sales releases show up in HubSpot?

On a custom object associated to the sales order and the company. Each release carries its own due date, ship date and status, which is what an account manager needs before a customer call. Releases are scheduled against order lines and keep arriving, so hanging them on the deal would bury the one date that matters.

What happens if a Plex sync run stops halfway?

The next run resumes from the last completed window. Watermarks advance only when a window finishes, every write is an upsert on the Plex id, and the association pass repeats safely, so re-reading a window updates the same records rather than duplicating them. The failed run is flagged, and the replay endpoint can re-read any window on request.

How many hours does a Plex and HubSpot integration take?

Allow 10 to 20 hours for discovery and 70 to 150 hours for the build: customers, contacts, orders, releases, invoices and parts, with watermarks, replay and reconciliation. Part of discovery is plain access: Plex IAM, the developer portal account and the keys come before any code, and all three run through your Plex champion.

Trust and compliance

We design integrations to support the security and privacy rules your business works under, and we build them on independently audited platforms.

How we build

  • Sandbox first. We build and test in a sandbox before anything reaches production.
  • Fail-closed allowlists. An integration runs only against the HubSpot accounts it is approved for.
  • Least-privilege access. Each integration gets only the API scopes it needs.
  • Secrets in a vault. Keys and tokens live in a secrets vault, never in plain text.
  • Sensitive data scoped early. Discovery covers sensitive data, access controls and any BAA or data-processing needs.
  • A compliance package for regulated industries: audit logging, field-level encryption and sensitive-data handling.
