Is there an official IFS Cloud + HubSpot integration?

Not from HubSpot or IFS. As of September 2026 the only IFS listing in the HubSpot App Marketplace is IFS SYNC, Data Lake, AI, MCP by Commercient, which comes from a third party. Our recommendation is a custom API integration on IFS Cloud's OData projections, triggered by custom events and checked by a scheduled sweep, at 70 to 150 build hours; a business still on IFS Applications 10 is scoped separately, because this route reads IFS Cloud's APIs.

Why teams connect IFS Cloud to HubSpot

IFS builds software for businesses that manufacture, service and manage complex assets, so an IFS customer tends to sell something that lasts: the equipment, the service around it and the parts it consumes over the years. IFS Cloud holds that history. The commercial team working in HubSpot sees the relationship but not the installed base, the open orders or the invoices behind it.

That gap costs renewals and follow-on sales. A salesperson walks into a meeting without knowing that the last order shipped late or that an invoice is in dispute. Marketing cannot reach the owners of a product line that is due for replacement, because the product line and its owners live in IFS.

There is a decision to make before any mapping. IFS Cloud has sales records of its own, business leads among them, so part of the pipeline may already live inside the ERP. Settling which system owns leads and opportunities comes first. After that the split is simple: IFS supplies the customer, the order, the invoice and the part, and HubSpot supplies the pipeline and the activity. IFS also ships named releases, such as 25R2 and 26R1, and the integration has to survive each one.

What syncs

A first IFS build maps five objects. Each IFS customer lands as a HubSpot company, with its contacts beside it. Each customer order becomes a deal, each customer invoice a custom object record, and each sales part a product. Business leads stay out of a first build until ownership of the pipeline is settled.

Direction is one way into HubSpot at first, with IFS as the system of record for everything commercial it holds. Plan any write back as its own phase, usually a won deal that should become a customer order, and IFS makes a stale write safe: an update through a projection carries the record’s ETag in an If-Match header, so an edit based on an old copy fails instead of overwriting newer data.

Keys are IFS’s own: the customer ID, the order number, the invoice ID and the sales part number, each held in a custom HubSpot property. Contacts match on email, with the IFS contact ID as the tie breaker.

Objects that sync between IFS Cloud and HubSpot
Source object HubSpot object Direction Match key Notes
Customer Company Into HubSpot IFS customer ID held in a custom HubSpot property IFS stays the owner of the customer, so HubSpot shows it without editing it.
Customer contact Contact Into HubSpot Email, with the IFS contact ID as the tie breaker
Customer order Deal Into HubSpot IFS order number A custom event fires per table row, so the order is read once however many lines changed.
Customer invoice Custom object Into HubSpot IFS invoice ID, associated to the order and the customer
Sales part Product Into HubSpot Sales part number

Architecture

IFS pushes a signal and our service pulls the record, with a sweep behind both. For each object we configure a custom event in Solution Manager on the entity’s table, firing on new, updated and removed rows, and attach a REST Call event action that posts to our ingest endpoint through IFS Connect’s REST sender with a bearer token.

The event is a signal rather than the record. The consumer takes the key from it, reads the full record from the projection with an OAuth 2.0 client credentials token, and upserts into HubSpot keyed on the IFS ID, followed by a separate association pass.

A scheduled sweep pages each entity set with $top and $skip and compares it with what HubSpot holds, so a change that raised no event is still caught. IFS documents no general changed-since filter across entity sets, so the sweep compares full pages rather than asking for recent rows. Our service runs outside IFS, which is how IFS expects outside extensions to run, while the event configuration travels as an application configuration package from the CFG environment to UAT and PROD.

A custom event on each IFS table sends a REST Call through IFS Connect to an ingest endpoint, which queues the change by key so the consumer reads the full record from the projection once. A scheduled sweep pages each entity set, and every record is upserted into HubSpot on its IFS ID.

Three ways to connect

On IFS the route follows two things: which API covers each of your objects, and who is allowed to configure events. IFS asks integrators to prefer Premium APIs, then integration projections, then standard projections or entity services, and a custom API integration can follow that order object by object.

IFS’s own documentation names Dell Boomi as an example of middleware that splits a structured message into the atomic calls its standard APIs expect. Where Boomi already runs, it is a reasonable home for the IFS side, though it still needs a reconciliation step of its own.

Commercient’s IFS app is the packaged route: a third-party sync for a standard feed, with the mapping and the support owned by Commercient.

What breaks and how we prevent it

Triggers that exist only while published

IFS runs a custom event through database triggers that exist only while the event is enabled and published. Disable or unpublish it during a configuration change and no event fires until it is published again. The sweep catches the missed changes, and we alert when events go quiet while the sweep keeps finding differences.

One row event per order line

Custom events fire per table row, so with events on an order and its lines, saving twenty changed lines raises twenty events plus the header’s. We collapse events by order number in the queue and read the order once, which also keeps projection calls down.

Standard projections changing at a release

Standard APIs are tied to the pages they serve. IFS’s policy rules out breaking API changes in service updates, lists a release’s breaking changes at Early Access, keeping an old Premium API version until the next release. We rerun the regression suite in UAT at Early Access, before the release reaches production.

Self-signed certificates on the receiving end

A REST Call action cannot import a self-signed certificate, and the keystore workaround works only with no authentication at all. Our ingest endpoint uses a certificate from a public authority, so the bearer token stays in place.

Our approach

  1. Scope. We settle who owns leads and opportunities, list the objects, and find the API class that covers each one in API Explorer.
  2. Architect. We fix the keys, the custom events and their attributes, the REST Call actions, the IAM client and the sweep schedule.
  3. Build. The service is built against a CFG or UAT environment with a HubSpot sandbox and a portal allowlist, and the events ship as a configuration package.
  4. Validate. We fire each event type on purpose, run a full sweep, and reconcile counts with the order desk.
  5. Operate. We watch event volume against sweep repairs, rerun the regression suite at each Early Access, and keep replay available.

Common questions

Is there an IFS Cloud app in the HubSpot App Marketplace?

Only a third-party one. As of September 2026 the listing is IFS SYNC, Data Lake, AI, MCP by Commercient, installed in single digits by the marketplace's count, and neither HubSpot nor IFS publishes an app. It can carry a standard feed. The decisions that shape an IFS project, such as who owns leads and which API covers each object, stay with you.

Can IFS Cloud call HubSpot when a customer order changes?

It can call any endpoint you choose. A custom event, configured in Solution Manager, fires when a row in the order's table is created, updated or removed, and a REST Call event action posts to an endpoint through IFS Connect with basic, bearer or Azure shared key authentication. We point it at our ingest service, which reads the full order and writes HubSpot shortly after.

Which IFS Cloud APIs should a HubSpot integration use?

Follow IFS's own order of preference: Premium APIs first, then integration projections, then standard projections or entity service APIs. Premium APIs are built for integration and kept compatible across releases where IFS can. Entity services need an administrator to activate them in API Explorer and are meant only for trusted system-to-system use.

How does a service authenticate to the IFS Cloud APIs?

With OAuth 2.0 through IFS Identity and Access Manager. An administrator registers an IAM client with service accounts enabled, which creates a service user and allows the client credentials flow. IFS keeps basic authentication on its endpoints only to ease upgrades and says it is not for integrations, so we never build on it.

What happens to an IFS Cloud integration at each new release?

Less than you might fear, if it is built on the right APIs. IFS makes no breaking API changes in service updates and lists a release's breaking changes at Early Access. A Premium API keeps its old version beside the new one until the following release. Core APIs you have customized or configured are your own responsibility, so we retest in UAT.

How do you stop duplicate IFS Cloud customers in HubSpot?

By treating every event as a signal and every write as an upsert. The consumer takes the customer ID from the event, reads the current record, and writes it to HubSpot against that ID in a custom property. Two events for one customer, or a sweep that reads it again, update the same company rather than creating a second one.

What does an IFS Cloud and HubSpot integration take in hours?

Plan on 10 to 20 hours of discovery and 70 to 150 hours of build for five objects with custom events, a sweep, and replay and reconciliation endpoints. Discovery is mostly about ownership and access: who owns leads and opportunities, which API covers each object, and who can configure events and IAM clients in Solution Manager.

Trust and compliance

We design integrations to support the security and privacy rules your business works under, and we build them on independently audited platforms.

How we build

  • Sandbox first. We build and test in a sandbox before anything reaches production.
  • Fail-closed allowlists. An integration runs only against the HubSpot accounts it is approved for.
  • Least-privilege access. Each integration gets only the API scopes it needs.
  • Secrets in a vault. Keys and tokens live in a secrets vault, never in plain text.
  • Sensitive data scoped early. Discovery covers sensitive data, access controls and any BAA or data-processing needs.
  • A compliance package for regulated industries: audit logging, field-level encryption and sensitive-data handling.
