HubSpot + Buildertrend integration

Buildertrend holds the lead opportunity, the job and the schedule for home builders, and its own HubSpot connector moves leads in one direction only.

Is there an official Buildertrend + HubSpot integration?

Yes. Buildertrend publishes its own HubSpot integration in Buildertrend Marketplace, though the HubSpot App Marketplace lists no Buildertrend app as of September 2026. We recommend Buildertrend's own integration, set up in 8 to 24 hours, to move HubSpot contacts one way into lead opportunities. It stops being enough when sold jobs have to reach HubSpot, since Buildertrend offers no public API to read them from.

Why teams connect Buildertrend to HubSpot

Buildertrend is where a residential builder or remodeler runs the job once a prospect is real: the lead opportunity, the proposal, the schedule, the client portal and the change orders. The marketing that produced the prospect usually lives somewhere else. Paid search, the home show list and the nurture emails for a family that is two years from breaking ground tend to sit in HubSpot, and the two systems meet at one moment, when a prospect is ready to talk to an estimator.

Without a connection, that moment is a retyping job. Someone copies the name, the email and the address from HubSpot into a new lead opportunity, and the lead source is usually the first thing lost. The builder can then say which campaign produced a form fill, but not which one produced a signed contract, and the marketing budget gets set on the number that is easy to count.

Buildertrend now publishes its own HubSpot integration for the first half of that journey, and it is the right place to start. The second half, from a sold job back to the campaign that earned it, is where builders call us. The constraint that shapes our answer is that Buildertrend offers no public API a customer can build against, so anything that returns to HubSpot has to leave Buildertrend as a file.

What syncs

Three records carry the flow. Buildertrend’s integration takes a HubSpot contact and creates two things in Buildertrend: a contact holding the name, primary email, phone, cell and street address, and a lead opportunity titled with the person’s name and email, with HubSpot recorded as the lead source. Buildertrend sets the opportunity status from the HubSpot lead status. New, open, in progress, open deal, attempted to contact and connected become Open; unqualified and bad timing become No Opportunity; anything it does not recognize opens as Open.

Nothing in that mapping writes a Buildertrend identifier into HubSpot, or a HubSpot identifier into Buildertrend. Email is the only field the two systems share, so it becomes the match key for anything that comes back. It is a weak key and we treat it as one: a shared family inbox, or an address corrected in only one system, breaks the match, and the loader reports those rows rather than guessing.

The outcome of the lead opportunity is what marketing wants back: sold or lost, and the value where the export carries it. It lands on a HubSpot deal associated to the contact, one way, because Buildertrend owns the job and everything that happens after the sale.

Objects that sync between Buildertrend and HubSpot
Source object HubSpot object Direction Match key Notes
Contact Contact Out of HubSpot Email, the one field both systems hold Name, email, phone, cell and street address come across, with the state cut to three characters.
Lead opportunity Contact Out of HubSpot Email, which Buildertrend writes into the opportunity title The HubSpot lead status decides whether it opens as Open or as No Opportunity.
Lead opportunity outcome Deal Into HubSpot Opportunity title, matched to the HubSpot contact on email Sold and lost outcomes return only through a grid export someone runs.

Architecture

Two routes run at different speeds.

The first is Buildertrend’s. An admin opens Company Settings, selects HubSpot under Integrations, consents to share data and signs in, then picks the lead statuses to sync and how contact details should sync. The consent screen asks to manage leads and contacts in Buildertrend and for offline access, so the connection keeps running with nobody logged in. Our work on this route is configuration: the lead status definitions in HubSpot, the workflows that set them, and a check that addresses arrive usable.

The second route is ours, and it is file based. Buildertrend’s documented way out for a customer is the Export button on a grid, which downloads an Excel file. Once discovery confirms which grids offer it, someone in the office exports lead opportunities on an agreed day and drops the file in a folder the loader watches. The loader hashes the file so a repeated drop changes nothing, validates each row, matches it to a HubSpot contact on email, and upserts one deal per opportunity, keeping a link between the opportunity title and the deal. Rows that fail go to a quarantine report with a reason.

HubSpot contacts with a chosen lead status flow one way through Buildertrend's own integration into lead opportunities and contacts. Outcomes come back only when someone exports a grid to a drop folder, where a loader matches rows on email and updates HubSpot deals.

Three ways to connect

The deciding question is direction. If HubSpot only has to hand prospects to Buildertrend, Buildertrend’s own integration does it with no build, and it is the route we recommend. If sold jobs have to come back, no connector does that today. The choice is then between a scheduled export feeding a loader, and waiting for the two-way sync Buildertrend’s FAQ says later versions will add. Waiting has a price: until outcomes return, HubSpot can count the prospects it handed over but not the contracts they became, so campaign reports stop one step short of revenue.

An iPaaS is off the table rather than merely expensive. Buildertrend Marketplace lists no iPaaS connector, and with no public API there is nothing for an iPaaS to call on the Buildertrend side.

  • Custom integration

    Possible

Outcomes have no documented way out of Buildertrend except a grid export to Excel. A small loader keyed on email can take that file from a drop folder and update HubSpot deals, as fresh as the last export.

  • iPaaS

    Avoid

Buildertrend Marketplace lists no iPaaS connector, and Buildertrend offers no public API for one to call, so an iPaaS has nothing to read on the Buildertrend side.

What breaks and how we prevent it

State names cut to three characters

Buildertrend’s mapping keeps only the first three characters of the HubSpot state field. A contact entered as Ontario arrives as Ont, and New York arrives as New. We standardize the HubSpot state property to two-letter codes before the first sync, with a workflow that corrects new entries, so the estimator gets an address that works.

Lead statuses outside the list

The mapping recognizes eight HubSpot lead statuses. A portal that has added its own, such as site visit booked, sends those contacts across as Open, whatever they mean. We map the statuses the portal really uses during discovery, and either return to HubSpot’s defaults or agree in writing that custom ones open as Open.

One inbox, two households

Email is the only shared field, so two families using one address, or a contact whose email changed in only one system, break the return match. The loader never guesses: an ambiguous or missing match lands in the quarantine report with the row and the reason, and a person resolves it.

An export nobody ran

A file route is only as current as its last export. We put the date of the newest file on a HubSpot dashboard and alert when it is older than the agreed interval, so a skipped week shows up before a report is wrong.

Our approach

  1. Scope. We list the HubSpot lead statuses in use, the Buildertrend grids that offer Export in your account, and who will run the export and when.
  2. Architect. We decide which statuses hand a contact to Buildertrend, standardize the state field, and fix the email key and the deal shape for outcomes.
  3. Build. We connect Buildertrend’s integration with your admin, write the HubSpot workflows that set lead status, and build the loader against sample exports where outcomes are in scope.
  4. Validate. Buildertrend documents no test environment, so marked test contacts run through every mapped status in the company picked at connection, a spare one if your account holds several, and are removed afterwards. A first export is loaded into a HubSpot sandbox and reconciled against its grid.
  5. Operate. We watch the newest export’s date, clear the quarantine report with your office, and re-check the mapping when Buildertrend ships its two-way sync.

Common questions

Does Buildertrend have a HubSpot integration of its own?

Yes. Buildertrend lists a HubSpot integration in Buildertrend Marketplace, and an admin connects it under Company Settings, then Integrations. It works on every Buildertrend plan and with free and paid HubSpot. It is installed from Buildertrend rather than from the HubSpot App Marketplace, which lists no Buildertrend app as of September 2026.

Which HubSpot contacts does the Buildertrend integration bring across?

The ones whose lead status you select on its Configuration tab. New, open, in progress, open deal, attempted to contact and connected open as Open lead opportunities, while unqualified and bad timing become No Opportunity. A status Buildertrend does not recognize also opens as Open, and HubSpot is recorded as the lead source every time.

Can Buildertrend send sold jobs back to HubSpot?

Not through its own integration. Buildertrend's FAQ says the sync flows one way to start, from HubSpot into Buildertrend, and that later versions will add a two-way sync. Until then, the documented route out is the Export button on a Buildertrend grid, loaded into HubSpot by a small service on an agreed schedule.

Does Buildertrend offer a public API for a custom HubSpot sync?

No. Buildertrend's site and help centre publish no API reference, no developer portal and no steps for creating an API key. Its own blog says the integrations in Buildertrend Marketplace are built on APIs, but those APIs are not documented for customers, so a custom build reads the Excel files Buildertrend grids export.

How fresh is Buildertrend data that reaches HubSpot through an export?

Exactly as fresh as the last file someone exported. A weekly export gives HubSpot a weekly picture of sold and lost opportunities, which suits attribution reporting and nothing time sensitive. We show the date of the newest file on a HubSpot dashboard, so a skipped export is visible before anyone trusts a stale report.

What stops a Buildertrend export from creating duplicate HubSpot deals?

The loader keeps a link between each opportunity title and the deal it created, and it hashes every file, so dropping the same export twice changes nothing. A row whose email matches no HubSpot contact, or matches two, goes to a quarantine report with the reason instead of creating a record anyone has to merge later.

How long does a HubSpot and Buildertrend setup take?

Plan on 4 to 8 hours of discovery and 8 to 24 hours of setup for Buildertrend's own integration: the lead status design, a clean state field, the HubSpot workflows that set lead status, and testing every mapped status. A loader for sold outcomes is scoped separately, once we know which grids in your account offer Export.

Trust and compliance

We design integrations to support the security and privacy rules your business works under, and we build them on independently audited platforms.

How we build

  • Sandbox first. We build and test in a sandbox before anything reaches production.
  • Fail-closed allowlists. An integration runs only against the HubSpot accounts it is approved for.
  • Least-privilege access. Each integration gets only the API scopes it needs.
  • Secrets in a vault. Keys and tokens live in a secrets vault, never in plain text.
  • Sensitive data scoped early. Discovery covers sensitive data, access controls and any BAA or data-processing needs.
  • A compliance package for regulated industries: audit logging, field-level encryption and sensitive-data handling.
