Is there an official Smartsheet + HubSpot integration?

Yes. HubSpot publishes a Smartsheet app in the HubSpot App Marketplace as of September 2026, built on its data sync engine, and it keeps sheet rows and HubSpot records in step in one direction or both. We recommend it first, set up in 8 to 24 hours. It stops being enough when every won deal needs its own project sheet copied from a template, which takes a custom API integration.

Why teams connect Smartsheet to HubSpot

Smartsheet is where delivery teams plan the work a salesperson promised. Implementation leads, agencies and project offices run rollouts, onboarding checklists and resource plans in sheets that look like spreadsheets and behave more like databases, with owners, dates and status columns someone updates every day.

The trouble starts at the handoff. A deal closes in HubSpot and someone retypes the customer, the scope and the start date into an intake sheet. Weeks later an account manager preparing a renewal cannot see that the rollout slipped, because the status lives in a column sales never opens. The customer hears about the delay from delivery first, and the renewal conversation starts on the back foot. Both teams keep a copy of the truth, and neither copy is complete.

HubSpot publishes its own Smartsheet app, so the first question is how far it reaches before anything is built. It keeps rows and records agreeing, which covers an intake sheet and a status column, and sometimes that is the whole job. HubSpot’s documentation describes nothing that copies a template sheet for each new project or reads across dozens of project sheets at once, and those two requests are what usually bring a delivery team to us.

What syncs

Four records cover most requests. An intake sheet row pairs with a HubSpot deal in both directions: sales fills in the scope, delivery fills in the status, and each side sees the other’s fields. Contact rows pair with contacts and account rows with companies, matched the way HubSpot’s data sync matches them, on email for contacts and on name or domain for companies, ignoring capitalization and punctuation in names.

Ownership decides the mappings. Each field mapping carries its own direction, and one app is named to win conflicts for the whole sync. We map the fields sales owns one way into the sheet, map the columns delivery owns one way back, and keep two-way mappings for the few fields both sides edit. Deal stages need exact labels: the sheet’s stage values must match the HubSpot stage labels.

The fourth record needs a build. When every won deal gets its own project sheet, that sheet’s summary fields, such as status and planned finish, roll up to a HubSpot project record keyed on the Smartsheet sheet id. Data sync pairs a chosen sheet with a chosen object one sync at a time, so each new project sheet would need a sync set up by hand.

Objects that sync between Smartsheet and HubSpot
Source object HubSpot object Direction Match key Notes
Intake sheet row Deal Two way The row link data sync keeps, with deal stages matched on their labels Sales fills in the scope, delivery fills in the status, and each side sees the other's fields.
Contact row Contact Two way Email, the identifier data sync matches contacts on Rows without an email are skipped unless that setting is cleared.
Account row Company Two way Company name or domain, as data sync matches companies Name matching ignores capitalization, special characters and punctuation.

Architecture

On the recommended route no service of ours runs at all. HubSpot’s data sync indexes the sheet and the HubSpot object, runs an initial sync, and then moves changes within about ten minutes. Our work is the sheet design, the pairing and the mappings. Smartsheet publishes no sandbox, so we test on copies of the live sheets in your own account, made with its copy sheet operation, before the live sheet is connected.

The custom route adds a webhook queue. When a deal closes, a HubSpot workflow calls the service, which copies the template sheet through Smartsheet’s copy sheet operation, stores the new sheet id on a HubSpot project record, and creates and enables a webhook on that sheet. Smartsheet checks the callback URL with a challenge before sending anything, and repeats the check every hundred callbacks. Callbacks are skinny: they name the changed rows and cells without their values. The service verifies the HMAC header, queues the callback, re-reads the sheet and writes its summary to the project record. Any write back into a sheet runs serially, because Smartsheet reports save collisions when one sheet takes parallel updates.

HubSpot's Smartsheet app keeps an intake sheet and HubSpot deals, contacts and companies in step within minutes. Where each won deal needs its own sheet, a service copies a template, subscribes to the copy's webhook, re-reads the sheet on each callback and rolls its summary up to a HubSpot project record.

Three ways to connect

What decides the route is the shape of the project process. If delivery works from one intake or tracker sheet, HubSpot’s own app covers it with no build, and it is where we start. If every won deal becomes its own sheet, copied from a template, the app has nothing fixed to pair with, and the copy, the webhook and the roll-up need a custom API integration. An iPaaS sits awkwardly between the two: Zapier and Make both publish Smartsheet connectors, but row sync is already covered, and the per-project work needs state. Plans matter on both sides too: custom field mappings need a paid Data Hub subscription, custom objects need Enterprise, and Smartsheet’s API needs Business or above.

  • Custom API integration

    Possible

A custom API integration copies a template sheet when a deal closes, subscribes to that sheet's webhook, and rolls its summary fields up to a HubSpot project record, none of which data sync does.

  • iPaaS

    Avoid

Zapier and Make both publish Smartsheet connectors, but row sync is what HubSpot's app already covers, and the per-project copy and roll-up that go beyond it need state a per-task flow keeps poorly.

What breaks and how we prevent it

Picklist options frozen at setup

HubSpot copies a dropdown’s options when the sync is created and does not pick up options added later, so a status value delivery adds next month fails to sync. We agree the option lists before launch. Adding one means saving the sync again, which restarts the initial sync, so we schedule it.

Stage values that miss the label

Data sync moves a deal stage only when the sheet’s value matches the HubSpot stage label. A sheet that says Won where HubSpot says Closed Won stops the stage from syncing. We build the sheet’s stage column as a dropdown holding the HubSpot labels verbatim.

Two rows sharing one email

When two rows share an email, data sync treats the first row the sheet returns as the record and the next as a duplicate, so the second stays out of HubSpot until someone reads the sync’s failing records. We check the sheet for repeated emails before connecting it, and add a formula column that flags new repeats.

Webhooks switched off past 20,000 rows

On the custom route, Smartsheet disables a sheet’s webhook once the sheet passes 20,000 rows, 400 columns or 500,000 cells, and disables any webhook whose callbacks still fail after fourteen retries. The service checks each webhook’s status daily and alerts when one goes quiet.

Our approach

  1. Scope. We map the project process, one intake sheet or a sheet per project, the fields each team owns, and the HubSpot and Smartsheet plans in play.
  2. Architect. We choose the object pairings, the direction of each field mapping, the conflict winner and the stage labels, and write them down before anything connects.
  3. Build. We install HubSpot’s app against copies of the live sheets and a HubSpot sandbox, and add the template copy and webhook service where each project gets its own sheet.
  4. Validate. We run the initial sync on the copies, check duplicates, stages and owners, and compare row counts with record counts.
  5. Operate. We watch the sync’s failing and excluded records, re-save it deliberately when option lists change, and alert on any webhook Smartsheet disables.

Common questions

What does HubSpot's Smartsheet app sync?

Rows in a sheet with records in HubSpot. You choose a sheet, HubSpot recommends the object to pair it with, and you set one-way or two-way sync and the field mappings. Contacts, companies and deals are covered, custom objects need an Enterprise subscription, and custom field mappings need a paid Data Hub subscription.

How quickly does a Smartsheet change reach HubSpot?

Within about ten minutes once the first full sync has finished, according to HubSpot's documentation, and HubSpot checks its own side for changes every five minutes. The first sync takes longer on a large sheet, and saving the sync settings starts that initial sync again, so we avoid editing a live sync during working hours.

Does the Smartsheet app keep associations between HubSpot records?

For standard objects, HubSpot's data sync tries to keep associations such as a contact's company in step. For a sheet synced to a custom object, HubSpot says associations are not maintained and recommends mapping them by hand, which is one reason a project roll-up usually moves to a custom build.

Can a closed HubSpot deal create a new project sheet in Smartsheet?

Not through HubSpot's app, which pairs rows in an existing sheet with records. Smartsheet's API has a copy sheet operation, so a custom integration can copy a template sheet when a deal closes, name it for the client, store the new sheet id on the HubSpot record and subscribe to that sheet's webhook.

What limits does the Smartsheet API put on a HubSpot sync?

Most operations allow 300 requests a minute per API token, with file attachments and cell history at 30. One request adds or updates at most 500 rows, a sheet holds at most 500,000 cells, and Smartsheet switches off a sheet's webhook once the sheet passes 20,000 rows, 400 columns or 500,000 cells.

Which Smartsheet plans allow API access?

Smartsheet lists its API as available on the Business, Enterprise and Advanced Work Management plans. Tokens are generated under Personal Settings, then API Access, and tokens for Smartsheet Gov and the European and Australian regions are separate from Smartsheet.com tokens, so each integration uses the base URL and token of the account's own region.

What does a Smartsheet and HubSpot setup take in hours?

Allow 4 to 8 hours of discovery and 8 to 24 hours to set up HubSpot's app: the sheet design, the object pairing, the field mappings and their direction, and a test run on copies. A template copy with a roll-up across project sheets is a separate custom build, scoped once the project process is clear.

Trust and compliance

We design integrations to support the security and privacy rules your business works under, and we build them on independently audited platforms.

How we build

  • Sandbox first. We build and test in a sandbox before anything reaches production.
  • Fail-closed allowlists. An integration runs only against the HubSpot accounts it is approved for.
  • Least-privilege access. Each integration gets only the API scopes it needs.
  • Secrets in a vault. Keys and tokens live in a secrets vault, never in plain text.
  • Sensitive data scoped early. Discovery covers sensitive data, access controls and any BAA or data-processing needs.
  • A compliance package for regulated industries: audit logging, field-level encryption and sensitive-data handling.
