Is there an official Housecall Pro + HubSpot integration?
No. Neither HubSpot nor Housecall Pro publishes a Housecall Pro integration for HubSpot, and the HubSpot App Marketplace lists no Housecall Pro app as of September 2026. We recommend a custom API integration on Housecall Pro's signed webhooks, at 70 to 150 build hours, which needs the MAX plan. Zapier covers one simple handoff and stops being enough when estimates have to become deals.

Why teams connect Housecall Pro to HubSpot
Housecall Pro is the office for a home service business that still answers its own phone. HVAC, plumbing, electrical and cleaning pros use it to book the visit, dispatch the technician, send an estimate with several priced options, and collect payment on the invoice before the van leaves the driveway. It holds the one thing marketing never has: what actually happened at each house.
HubSpot arrives when the owner starts spending real money on demand: paid search, a newsletter to past customers, a seasonal tune-up campaign, a review request after every completed job. Each of those needs to know what happened in the field. Without a connection, the marketing list is a spreadsheet exported now and then, and the question every owner asks, which campaign paid for itself, has no answer. The thread that could answer it already exists: the Housecall Pro customer record carries a lead source field, and it only needs to reach the system that ran the campaign.
There is a gate before any design work. Housecall Pro’s help centre says its API is available only on the MAX plan, and its webhooks likewise. A business on a lower plan has no programmatic route to HubSpot until it upgrades, so the plan is the first question in scoping, ahead of objects, keys or direction.
What syncs
Four records carry the value. Customers become HubSpot contacts rather than companies, because Housecall Pro describes its typical customer as a homeowner, and the customer’s company field stays a property for commercial work. Estimates become deals, since an estimate is the one record someone is trying to win. Jobs and invoices become custom objects associated to the contact, one way, because Housecall Pro owns the schedule and the money.
The estimate needs care. A Housecall Pro estimate can carry several options, and approval is recorded per option, so the deal amount is the price of the option the customer approved, never the total of every option offered. The approval arrives as its own event, and that event is what moves the deal to closed won.
Every record keys on its Housecall Pro id in a custom HubSpot property. Email is the wrong key: households share inboxes and people change email addresses, while the id does not. Lead source travels as a contact property, because it is the field attribution reports read.
| | | Direction | Match key | Notes |
|---|---|---|---|---|
| Customer | Contact | Two way | Housecall Pro customer id in a custom HubSpot property | Housecall Pro describes the typical customer as a homeowner, so a contact rather than a company. |
| Estimate | Deal | Into HubSpot | Housecall Pro estimate id | The amount follows the option the customer approved, never the sum of every option. |
| Job | Custom object | Into HubSpot | Housecall Pro job id, associated to the contact | Completed and paid events start the follow-up workflows in HubSpot. |
| Invoice | Custom object | Into HubSpot | Housecall Pro invoice id, associated to the job | Paid, voided and failed payment events keep the balance honest. |
Architecture
The shape is a webhook queue. Housecall Pro posts each subscribed event to our endpoint with two headers, Api-Timestamp and Api-Signature. The endpoint computes an HMAC with SHA-256 over the timestamp, a dot and the raw body, using the signing secret Housecall Pro returned when the URL was saved, and drops anything that does not match. Accepted events are queued and acknowledged at once.
A consumer takes each event, reads the full customer, estimate, job or invoice by id with the account’s API key in the Authorization header, and upserts into HubSpot on the Housecall Pro id, with a separate pass for associations. Housecall Pro limits the API’s request rate without publishing the figures: a call over the limit gets a 429 carrying a RateLimit-Reset time, and the consumer waits until then. The reverse path is short: a HubSpot form calls the service, which searches customers before creating one.
A nightly sweep lists jobs sorted by their last update, newest first, and stops at the previous run’s high-water mark. The customer list documents only a creation-date default for sorting, so the customer sweep walks every page, weekly.

Three ways to connect
The plan decides first: below MAX, no route exists at all. On MAX, the choice is how much has to move. Housecall Pro’s help centre walks through Zapier, and Zapier’s Housecall Pro app watches for scheduled and completed jobs and can create a customer, which covers a review request after each job or a HubSpot form that books into the office. Housecall Pro also names Make and Pabbly Connect as tools a Pro can try. When estimates have to become deals priced on the approved option, and invoices have to keep a balance honest, the flow needs signed webhooks, a link store and a sweep, and that is a service.

Custom API integration
RecommendedHousecall Pro signs its webhooks and covers customers, estimates, jobs, invoices and leads, so a keyed service can move each record moments after the event and verify every delivery before trusting it.
-
iPaaS
PossibleHousecall Pro's help centre walks through Zapier, whose Housecall Pro app watches for scheduled and completed jobs and can create a customer. That suits one handoff, such as a completed job starting a review request.

What breaks and how we prevent it
Summing every estimate option
An estimate with three options is not worth three times the job. A mapping that totals the options inflates the pipeline the day estimates go out. We set the amount from the approved option only, and keep the unapproved options’ range in a separate property until the customer decides.
Signatures checked against re-encoded JSON
Housecall Pro signs the timestamp plus the payload. A framework that parses the body and serializes it again can change spacing or key order, and then every genuine event fails verification. We verify against the raw bytes before any parsing and log the timestamp, so a failure reads as clock skew or a real forgery rather than a mystery.
A downgrade that removes the API
The API and webhooks exist only on MAX, so a plan change made to save money in a slow month would end the integration. We alert on authorization errors and on silence from the webhook stream, and we put the dependency in writing at kickoff.
Events from the wrong location
On a multi-location account every event names the company or location that owns the record, and a read sent with an X-Company-Id header ignores any location filter. We carry the owning id from the event into every read and every HubSpot record, so two branches never merge a customer.
Our approach
- Scope. We confirm the MAX plan, list locations, estimate habits and invoice states, and agree which HubSpot workflows each event should start.
- Architect. Customers as contacts, estimates as deals priced on the approved option, jobs and invoices as custom objects, and the webhook events to enable.
- Build. Housecall Pro publishes no sandbox, so the service is written against test customers we agree with you in your own account, using the read-only key the API offers wherever reads are enough, and a HubSpot sandbox behind a portal allowlist.
- Validate. We replay a month of estimates and jobs, reconcile deal amounts against approved options, and send a forged event to prove the signature check rejects it.
- Operate. We watch webhook silence, authorization errors and the nightly sweep, and rotate the signing secret and the API key on a schedule you approve.
Common questions
Which Housecall Pro plan includes the API and webhooks?
The MAX plan. Housecall Pro's help centre says the API is available only to Pros on MAX, and that webhooks are only on MAX as well. An admin user generates the API key under My Apps, choosing full access or read-only, and only admins can create or delete keys, because a key exposes the whole account.
Does Housecall Pro have a HubSpot integration?
Not an official one. The HubSpot App Marketplace lists no Housecall Pro app as of September 2026, and Housecall Pro's integrations page names no HubSpot connector, though it does list Zapier. A HubSpot connection is therefore a custom API integration on the MAX plan, or a Zapier flow for a single simple handoff.
How does HubSpot know a Housecall Pro webhook is genuine?
Housecall Pro sends an Api-Timestamp and an Api-Signature header with every event. The receiving service computes an HMAC with SHA-256 over the timestamp, a dot and the payload, keyed with the signing secret returned when the webhook URL was saved, and discards any event whose signature does not match.
Should a Housecall Pro estimate or a job become the HubSpot deal?
The estimate. It is the record someone is trying to win, and its options carry an approval status that changes when the customer decides. A job is work already won, with a schedule, a technician and an invoice, so it belongs on a custom object associated to the contact rather than in a pipeline a manager forecasts from.
How fresh is Housecall Pro data in HubSpot?
Seconds behind the event on a webhook build: Housecall Pro posts the change, and the service reads the record and writes HubSpot at once. A nightly sweep of jobs sorted by last update catches anything the stream missed. Zapier's page for this pairing marks the Housecall Pro triggers as polling, and says Zapier checks for new data every 15 minutes on its Free plan.
Can a HubSpot form create a customer in Housecall Pro?
Yes. The service searches Housecall Pro's customers first, since the customer list accepts a query that matches name, email, mobile number and address, and it creates a customer only when nothing matches. It then stores the new customer id on the HubSpot contact so the next form fill updates the same record.
What does a Housecall Pro and HubSpot integration take?
Allow 10 to 20 hours of discovery and 70 to 150 hours of build for customers, estimates, jobs and invoices, with signed webhook ingest, a link store and a nightly sweep. If the business is not yet on MAX, the plan change comes first, since neither the API nor webhooks exist below it.

Our builds run on
How we build
- Sandbox first. We build and test in a sandbox before anything reaches production.
- Fail-closed allowlists. An integration runs only against the HubSpot accounts it is approved for.
- Least-privilege access. Each integration gets only the API scopes it needs.
- Secrets in a vault. Keys and tokens live in a secrets vault, never in plain text.
- Sensitive data scoped early. Discovery covers sensitive data, access controls and any BAA or data-processing needs.
- A compliance package for regulated industries: audit logging, field-level encryption and sensitive-data handling.
