HubSpot + Creatio integration

Creatio runs leads and opportunities as no-code processes. HubSpot's own app covers accounts and contacts, and this page covers the pipeline beyond them.

Is there an official Creatio + HubSpot integration?

Yes. Creatio has an app built by HubSpot in the HubSpot App Marketplace as of September 2026, but its shared data covers accounts and contacts only. For leads and opportunities we recommend one custom API integration over Creatio's OData 4 service that carries accounts and contacts as well, at 70 to 150 build hours, so a single keyed service owns every object.

Why teams connect Creatio to HubSpot

Creatio builds its sales product around processes. Leads move through an out-of-the-box lead management process, opportunities through another, and Creatio’s no-code tools let a team reshape both or build its own. So when marketing adopts HubSpot beside it, the integration has to hand work into those processes and read their outcomes back, as well as copy records.

What marketing wants from the pairing is specific. The person who filled in a form, opened the nurture emails and crossed a score threshold should arrive in Creatio as a lead a seller can qualify, and marketing should see which of those leads turned into opportunities and how far they went. Creatio’s model makes that exact, because a Creatio lead is a qualified need attached to a contact or an account rather than a person, and one contact can hold several.

HubSpot’s own Creatio app covers the people and the companies. Everything that carries the pipeline sits outside its shared data, and that gap is what this page is about. The Creatio plan matters too: Growth, Enterprise and Unlimited set different limits on API traffic and process runs, and those limits shape the design. Where Creatio is being replaced rather than kept, the migration or integration guide is the better starting point.

What syncs

Four objects do the work. Accounts become HubSpot companies and contacts become contacts, both ways, keyed on the Creatio Id, a GUID that every record carries and that no rename changes. Email matches a contact the first time, and the Id holds the pair after that. Where both systems edit the same contact, we give each field one owner: Creatio for what its processes read, HubSpot for marketing source and subscription status.

Leads are the object to get right. Because a Creatio lead is a need rather than a person, it maps to a HubSpot custom object associated to the contact, never to the contact itself. HubSpot creates the lead when a contact qualifies, Creatio’s lead process takes it from there, and the qualification status comes back so marketing can see what happened to each handoff.

Opportunities move one way into HubSpot as deals, associated to the company. Creatio’s opportunity process owns the stage, and HubSpot reports on it without editing it. Activities and orders stay out of a first build.

Objects that sync between Creatio and HubSpot
Source object HubSpot object Direction Match key Notes
Account Company Two way Creatio account Id, a GUID held in a custom HubSpot property The Id survives every rename, so it outlasts the account name.
Contact Contact Two way Creatio contact Id, with email for the first match
Lead Custom object Two way Creatio lead Id, associated to the contact it belongs to A Creatio lead is a need, so one contact can hold several.
Opportunity Deal Into HubSpot Creatio opportunity Id, associated to the company Creatio's opportunity process owns the stage.

Architecture

The shape is a watermark sync over OData 4. A service authenticates with the OAuth 2.0 client credentials grant, taking a bearer token from Creatio’s identity service, which expires after an hour in Creatio’s documented example. It reads each object with a filter on ModifiedOn, sorted and paged, and stores the last timestamp per object, so a restart resumes rather than reloads. A response stops at 20,000 records, which sets the page size for a backfill.

Writes into HubSpot are batch upserts keyed on the Creatio Id, followed by a separate association pass that links leads to contacts and opportunities to companies. Writes into Creatio create and update leads through the same OData service, carrying the HubSpot record id.

Where a seller needs a change in seconds, a Creatio business process can start on an object signal when a record is added, modified or deleted, and call the service through a Call web service element. That push is a fast path only. The watermark read still runs, because a process call that fails after its retries leaves nothing behind for us to replay.

A service reads each Creatio object through OData 4 on a ModifiedOn watermark and upserts HubSpot on the Creatio Id. A Creatio business process can call the service when a record changes, and contacts that qualify in HubSpot return to Creatio as leads.

Three ways to connect

The deciding question for Creatio is whether the pipeline has to be visible in HubSpot. If marketing only needs clean people and companies, HubSpot’s app does that with no build and should be tried first. If it needs leads handed into Creatio’s process and opportunities reported back, the app’s shared data stops short, and a keyed service is the route.

The Creatio plan matters as well. On Growth, OData calls are capped per licence per day and custom business process runs are capped at 50,000 elements a month per environment, so both the polling cadence and any process push are sized against the plan. Enterprise and Unlimited carry neither cap. A per-task automation platform adds nothing the service does not, and it spends the same capped calls.

  • Marketplace app

    Possible

HubSpot's own Creatio app keeps accounts and contacts in step with default mappings and no build, which is enough when leads and opportunities can stay entirely in Creatio.

  • iPaaS

    Avoid

On Creatio's Growth plan every OData call, and every operation inside a batch, counts against a daily cap per licence, and a per-task platform polling on a timer spends that cap whether or not anything changed.

What breaks and how we prevent it

Leads treated as people

A Creatio lead is a need, and Creatio refuses to merge duplicate leads because one prospect can hold several needs. A sync that treats leads as contacts collapses those needs into one HubSpot record and loses their separate histories. We map leads to a custom object associated to the contact from the first design.

Handoffs that open a second lead

Because Creatio never merges leads, a handoff that runs twice leaves two open needs for one request, and a seller works both. We store the HubSpot record id on every lead the service creates, and look it up before each create, so a retried handoff updates the lead it already made.

Process pushes counted on Growth

Every element a custom business process executes counts toward the Growth plan’s 50,000 a month per environment. A process that fires on every edit of a busy object spends that allowance quickly. We filter the object signal to the fields that matter, and leave the rest to the watermark.

Twenty thousand records per response

One OData response stops at 20,000 records, and a batch holds at most 100 requests. A backfill that assumes one read returns everything loads the first page and reports success. We page every read on a stable sort, and compare counts from $count before calling a backfill complete.

Our approach

  1. Scope. We confirm the Creatio plan and deployment, list the objects in scope, and walk the lead process with whoever owns it in Creatio.
  2. Architect. Leads as a custom object on the contact, opportunities one way, the Creatio Id as the key on every record, and a watermark cadence sized to the plan’s caps.
  3. Build. The service is registered as an OAuth client in a Creatio development environment and pointed at a HubSpot sandbox, with a portal allowlist that fails closed.
  4. Validate. We run a paged backfill with counts per object, then hand one lead from HubSpot through Creatio’s process and back.
  5. Operate. We watch the watermark and, on Growth, the daily OData count, and replay any window a failed run skipped.

Common questions

What does HubSpot's Creatio app actually sync?

HubSpot's listing shows two pairs in the app's shared data: Creatio accounts with HubSpot companies, and Creatio contacts with HubSpot contacts, each with default field mappings, one way or both ways, and a filter on any Creatio field or HubSpot list. Custom field mappings need Data Hub Starter or above. Leads and opportunities are not in its shared data, so the pipeline needs other work.

Does Creatio send webhooks when a record changes?

Not as a subscription. Creatio's webhooks feature is inbound: it receives posts from other systems and hands each one to a business process. To push a change out, a business process can start on an object signal when a record is added, modified or deleted, then call an external service through a Call web service element. On the Growth plan those process runs count toward a monthly cap.

How does an integration authenticate to Creatio?

With OAuth 2.0 through Creatio's identity service. For a server to server integration the client credentials grant fits: the service posts its client id and secret to the identity service's token endpoint and gets a bearer token, which Creatio's documented example shows expiring after 3,600 seconds. The same token works for OData 4, DataService and other Creatio web services.

Are there API limits on Creatio's OData service?

Two kinds. On every plan, one OData response holds up to 20,000 records and a batch up to 100 sub-requests. On the Growth plan only, OData calls are capped at 10,000 a day per full user licence, with each operation in a batch counted separately and the count reset at midnight UTC. Creatio describes these caps as soft, meaning a conversation about the plan rather than a block.

Should a Creatio lead become a HubSpot contact?

No. Creatio defines a lead as a qualified need for products or services, linked to a contact or an account, and it will not merge duplicate leads because one prospect can have several needs. Mapping leads onto HubSpot contacts collapses those needs into one record. We map each Creatio lead to a HubSpot custom object associated to the contact, so every need keeps its own status.

Which Creatio subscription does HubSpot's Creatio app need?

HubSpot's listing asks for Sales Creatio cloud, Team edition or above, a name Creatio's current price list no longer uses. Creatio now sells its platform as Growth, Enterprise and Unlimited plans, with Sales as a product added on top. We confirm with HubSpot which current plans qualify before designing around the app, and budget the custom route when they do not.

What does a Creatio and HubSpot integration take in hours?

Set aside 10 to 20 hours of discovery and 70 to 150 hours of build for accounts, contacts, leads and opportunities, with OAuth client credentials, a ModifiedOn watermark per object, paged backfills and reconciliation. Most of the discovery time goes on the lead process: who qualifies a lead, what status comes back to HubSpot, and when a lead becomes an opportunity.

Trust and compliance

We design integrations to support the security and privacy rules your business works under, and we build them on independently audited platforms.

How we build

  • Sandbox first. We build and test in a sandbox before anything reaches production.
  • Fail-closed allowlists. An integration runs only against the HubSpot accounts it is approved for.
  • Least-privilege access. Each integration gets only the API scopes it needs.
  • Secrets in a vault. Keys and tokens live in a secrets vault, never in plain text.
  • Sensitive data scoped early. Discovery covers sensitive data, access controls and any BAA or data-processing needs.
  • A compliance package for regulated industries: audit logging, field-level encryption and sensitive-data handling.
