HubSpot + Agile Education Marketing integration

Agile Education Marketing licenses K-12 school, district and educator records. What its own HubSpot app keeps current, and when a form lookup needs a build.

Is there an official Agile Education Marketing + HubSpot integration?

Yes. Agile Education Marketing offers AgileConnect for HubSpot, its own app for the portal, installed from a link Agile sends rather than from the HubSpot App Marketplace, where no Agile listing appears as of September 2026. We recommend that official app for matching and enriching schools and educators, at 8 to 24 hours of setup. When a form must identify the school the moment someone submits it, add a custom API integration on Agile's Look-Up API beside it.

Why teams connect Agile Education Marketing to HubSpot

Publishers and edtech companies that sell to schools license Agile’s data to learn which districts and schools exist and who works in them this year. Agile Education Marketing, which now brands itself AgileED, compiles records on public, private, parochial and charter K-12 schools and districts and the educators in them, alongside higher education, early childhood and public libraries. It puts the sector’s annual attrition at 20 to 25 percent, so a list bought once drifts further from the truth every month.

HubSpot adds a problem of its own. It treats a company’s domain as the identifier that prevents duplicates, and Agile’s own guidance notes that schools commonly use their district’s email domain, and that almost all schools in South Dakota share one. Matching on that domain, HubSpot files teachers from many schools under a single company, and a territory plan counts one account where the district has many.

Agile offers two ways into the portal. AgileConnect for HubSpot matches your companies and contacts to Agile’s records every week and appends the fields you licensed. The Look-Up API completes a form with Agile’s education data while someone fills it in. Most teams should start with the first. What we add sits around it: the district above each school, the form that must know the school at submission, and the standard properties your sales team reads.

What syncs

Three Agile records matter in HubSpot. Institutions, meaning schools and districts, become companies. Personnel, the educators and administrators in them, become contacts. The link between a district and its schools becomes HubSpot’s parent and child company association, which allows many schools under a district and one district above each school.

Everything moves one way. Agile owns the reference record and rebuilds it weekly; HubSpot owns the relationship, the deal and the activity. AgileConnect writes only the custom properties it creates at install, grouped as AgileConnect, and touches standard properties only when its prospecting tool creates a record. Where you want an Agile value in a standard field, a HubSpot workflow copies it, as Agile’s FAQ suggests.

The keys are Agile’s Institution UID for a company and its Personnel UID for a contact. The obvious keys fail: a domain is shared across a district, and school names repeat from one district to the next. AgileConnect appends the UIDs to every record it matches. In any build of ours, the Institution UID also sits in a property that requires unique values, so no second company can claim the same school.

Architecture

Two runtimes share the portal. The first is Agile’s. Once your admin authenticates AgileConnect, Agile’s integrations team schedules three jobs: a weekly match of every company and contact, a nightly match on the other weekdays for unmatched records created or changed recently, and a weekly update of the Agile properties. Monday’s nightly run looks back 72 hours to cover the weekend. A failed job retries three times with growing delays before Agile’s team is alerted.

The second runtime is ours, built only where a form must know the school at submission. The form queries the Look-Up API through a small proxy we host, so no Agile credential reaches the browser, and writes the chosen institution’s UID into a hidden field. HubSpot sends a webhook when that contact property changes, and the event joins a queue. A consumer upserts the district, then the school, on the unique UID property, links them as parent and child, and makes the school the contact’s primary company. Every write is keyed, so a replayed event changes nothing. The house name for this shape is a webhook queue.

Agile's own AgileConnect jobs match HubSpot companies and contacts to Agile's records every week and write Agile properties and UIDs. Where a form must name the school, a proxy queries the Look-Up API, and a queued service upserts the district, then the school, on its Institution UID.

Three ways to connect

Timing settles the route here: when HubSpot has to know the school. If the next morning is soon enough, AgileConnect handles matching, enrichment and prospecting without a build, which is why we recommend it. If a form must identify the school at the moment of submission, or districts must sit above their schools, a custom API integration adds that beside AgileConnect rather than replacing it.

We steer away from an iPaaS here. The Look-Up API does its work inside the form, before anyone submits, while an automation platform starts from the submission, by which point AgileConnect’s nightly match is already on its way. Agile’s integrations page lists Salesforce, HubSpot and Marketo and no iPaaS, so every step would be hand-built anyway.

  • Custom API integration

    Possible

Where a form must name the school at submission, a service we build queries Agile's Look-Up API through a proxy and upserts the school as a company keyed on its Institution UID, under its district. Agile shares the API's reference with customers rather than publishing it.

  • iPaaS

    Avoid

Agile lists no iPaaS connector, and an automation platform starts from the submission, after the moment the Look-Up API is sold for. By then AgileConnect's nightly match is already on its way.

What breaks and how we prevent it

One district domain, many schools

HubSpot links a contact to the company whose domain matches their email, and where several companies share a domain it picks one you cannot choose. Form submissions follow the email domain whatever the setting says. We turn automatic association off, as Agile strongly recommends, and reassign each contact to its school from the Agile UIDs, as Agile’s FAQ describes.

Agile properties moved or retyped

Agile’s FAQ warns that moving its properties to another group stops their updates, that their type and validation must stay as installed, and that deleting or archiving one blocks updates and prospecting. A portal tidy-up does exactly this. We rename display labels only, and copy values into your own properties with workflows.

Full state names in a picklist

Agile’s prospecting writes two-letter state codes. Where the portal’s state property is a dropdown of full state names, prospected records fail to load. We check the state property before the first prospecting run and align it with the codes.

Prospecting past the licence

Agile invoices prospected records outside your data licence at your licence rate. A saved list with the “Limit to License” box cleared, set to run each week, keeps adding them. We keep the box checked on every saved list, as Agile recommends, and review a list before it runs on a schedule.

Two companies on one Institution UID

Two companies that carry one Institution UID are duplicates, in Agile’s terms, and should be merged. Agile also merges records in its own database, and since August 2026 AgileConnect moves a matched record to the surviving UID. In our build the unique property refuses a second company outright, and the service reports the pair for a merge.

Our approach

  1. Scope. We list which Agile licences you hold (institution, personnel, premium), the fields you picked from Agile’s data dictionary, and any form that must name the school at submission.
  2. Architect. We fix the Institution UID as the company key, districts above schools, the domain setting, and which Agile values workflows copy into standard properties.
  3. Build. Your admin authenticates AgileConnect in a HubSpot sandbox first, with a sandbox instance Agile creates on request. Where the form route is in scope, the proxy and the consumer are built there too.
  4. Validate. We confirm Agile properties populate on sample records, prospect a handful with the licence box checked, and list any companies sharing a UID.
  5. Operate. We watch the weekly jobs, clear the duplicates Agile’s UIDs expose, and retest after each entry in Agile’s What’s New log that touches a job.

Common questions

Is AgileConnect for HubSpot in the HubSpot App Marketplace?

No. HubSpot's marketplace held no Agile listing when we searched it in September 2026. AgileConnect installs from a link Agile sends once your order is set up: a HubSpot admin authenticates it, picks the account and connects it, and it then appears under Connected Apps as AgileConnect V2. Questions about its jobs go to your Agile account manager and Agile's integrations team.

How often does AgileConnect refresh Agile data in HubSpot?

Weekly for the data itself: one weekly job matches every company and contact, another updates every Agile property, and you choose the day the sync runs. On the other weekday nights, a match job picks up unmatched records created or changed since, so a web form contact gets its Agile properties on the next weeknight run. A failed job retries three times before Agile's team is alerted.

Does AgileConnect overwrite standard HubSpot properties with Agile data?

No. AgileConnect writes to the custom properties it creates at install, one for each field you chose from Agile's data dictionary, kept in an AgileConnect group. It fills standard properties only when its prospecting tool creates a new record. To use an Agile value in a standard field, such as Agile's email address when yours bounces, a HubSpot workflow copies it across on your terms.

Can HubSpot show which schools belong to an Agile district?

Yes, through HubSpot's parent and child company association, though AgileConnect does not set it. Agile's FAQ says the integration leaves the company hierarchy alone and points to Agile's UIDs as the way to define it. We create the district first and then link each school as its child, since HubSpot allows many children per parent and one parent per child.

What may HubSpot store from an Agile Education Marketing data licence?

Your licence decides, and its terms are not public, so discovery confirms what the portal may hold and what happens at renewal. Agile's AgileConnect documentation separates three cases: records inside your licence; managed records, already in your portal but outside it, which Agile still enriches; and prospected records outside it, which Agile invoices at your licence rate.

How does Agile's Look-Up API fit a HubSpot form?

Agile sells the Look-Up API to complete forms with its education data, and shares its reference with customers rather than publishing it, so the endpoints, fields and authentication are confirmed in discovery. In our design the form queries it through a small proxy, stores the chosen institution's UID in a hidden field, and a queued service keys the HubSpot company on that UID.

What stops Agile data from creating duplicate schools in HubSpot?

Two safeguards. AgileConnect appends Agile's unique identifiers to every record it matches and will not insert a record whose identifier is already present. Our build holds the Institution UID in a HubSpot property that requires unique values, so a second company cannot take a UID another holds. Where two companies already share a UID, Agile treats them as duplicates, and we merge them.

How many hours does connecting Agile Education Marketing to HubSpot take?

Discovery takes 4 to 8 hours and the AgileConnect setup 8 to 24. Agile estimates the installation itself at five minutes; the rest goes on the fields you license, the domain setting, the state property, the workflows that copy Agile values and a sandbox test. A Look-Up API form route is scoped separately, as a light custom build of 40 to 60 hours.

Trust and compliance

We design integrations to support the security and privacy rules your business works under, and we build them on independently audited platforms.

How we build

  • Sandbox first. We build and test in a sandbox before anything reaches production.
  • Fail-closed allowlists. An integration runs only against the HubSpot accounts it is approved for.
  • Least-privilege access. Each integration gets only the API scopes it needs.
  • Secrets in a vault. Keys and tokens live in a secrets vault, never in plain text.
  • Sensitive data scoped early. Discovery covers sensitive data, access controls and any BAA or data-processing needs.
  • A compliance package for regulated industries: audit logging, field-level encryption and sensitive-data handling.
