HubSpot integration cost calculator

Choose the systems, the records that move and which way each one goes. The summary shows the shape of the build as you go, and we email you the price.

Systems to connect

Search the directory, or type any system and its version, such as Sage 300 or Sage 50. Up to five.

Objects and direction

Turn on every record that moves. One-way means into HubSpot or out of it; two-way means both systems can change the record.

How it is built

Flows on Make, Workato, Celigo, n8n, Zapier or a connector framework, in your own account.
An owned codebase: webhooks or scheduled jobs, queueing, rate limits, logging and monitoring.
We choose in discovery, from the volume, the latency you need and who will own it.

Both are priced the same way. On an iPaaS, the platform’s subscription is paid to its vendor.

Sync frequency

How fresh the data in HubSpot needs to be.

After launch

Every go-live starts with a 30-day warranty and a free first month of continuity. After that, choose who runs it.

We run it: hosting, monitoring, updates and incident response, on the tier you pick.
We deploy it to your own servers or cloud account, and your team runs it from go-live.
We set out both in discovery, with what each costs you to run.

Managed tier

  • 99.5% uptime target
  • Automated alerts in business hours
  • Next-business-day response
  • 1 maintenance hour a month
  • Quarterly health check
  • 99.9% uptime target
  • Automated alerts in extended hours
  • Response within 4 business hours
  • 3 maintenance hours a month
  • Monthly sync and error report
  • 99.9% uptime target with failover
  • 24/7 monitoring and on-call
  • 1-hour response to critical incidents
  • 6 maintenance hours a month
  • Monthly report and a quarterly review

The first 12 billed months, paid at signing.

Uptime figures are targets, not guarantees. Maintenance hours do not roll over.

Add-ons

Optional. Each one is scoped in discovery and quoted with the build.

Inside HubSpot
  • Live orders, invoices or stock on a record, without syncing every field. Scoped in discovery

  • Dashboards on the synced data, such as order cycle time. Scoped in discovery
Data and analytics
  • HubSpot and system data delivered to Snowflake, BigQuery or similar. Scoped in discovery
  • Past orders or transactions loaded, so reports start with history. Scoped in discovery
  • Records standardized and deduplicated before the first sync. Scoped in discovery
Scale and resilience
  • A sandbox or staging integration for testing changes safely. Scoped in discovery
  • Another platform on the same architecture, such as payments. Scoped in discovery

  • Faster response times on top of your continuity tier. Scoped in discovery
  • A regular look at performance and fit as your processes change. Scoped in discovery

How pricing works

Per object, by direction

Every integration is priced per object and per direction. An object is one type of record, such as contacts, deals or a custom object, and each is priced one-way or two-way. There are no field limits: the price covers every standard and custom field on the object. Middleware on an iPaaS and a custom API integration are priced the same way.

Discovery comes first

Work starts with a two-week technical discovery at a fixed fee. Sign the build within 30 days of the discovery readout and the fee is credited against it. The report and the field mapping are yours either way.

Included in every build

Training, knowledge transfer, SOPs and documentation are part of every build, not an add-on. Every go-live carries a 30-day warranty, and the first month of continuity is free.

After launch

From day 31, the integration runs under managed continuity on one of three tiers, billed monthly, or on your own servers after a one-time deployment, with support by the hour when you want it.

Add-ons and changes

Add-ons such as a health dashboard or a historical backfill are scoped in discovery and quoted with the build. Work outside the agreed scope is a change order, billed by the hour. Every price is in US dollars.

Common questions

Why is the price emailed rather than shown on the page?

A figure on a screen gets read without the assumptions under it. The priced estimate arrives as a short statement of work: each object and its direction, what the build includes and what is left to discovery, so it can go straight to whoever signs. It usually lands within one business day.

What counts as one object in the estimate?

One type of record that moves between HubSpot and your system, such as contacts, deals, invoices or a single custom object. Every field on it is included, standard or custom, however many there are. Three custom objects count as three objects.

Does a two-way sync cost more than a one-way sync?

Yes, a two-way object is priced higher than a one-way object. When both systems can change a record, the build needs rules for which side wins and guards against loops. It also takes longer: a one-way build usually goes live around week 6 after discovery, and a two-way build around week 8.

What happens after the integration goes live?

A 30-day warranty starts at go-live, and continuity is free for that first month. From day 31 the integration runs under managed continuity on the tier you chose, billed monthly, or on your own servers after a one-time deployment, with support by the hour when you want it.

Does choosing an iPaaS or a custom API change the price?

No. Both are priced per object and direction. On an iPaaS such as Make, Workato, Celigo, n8n or Zapier, you also pay the platform’s subscription to its vendor. A custom API integration gives you an owned codebase instead.

Is discovery charged if we do not go ahead with the build?

Yes. Discovery is a fixed fee, paid at signature, and the report and the field mapping are yours to keep. If you sign the build within 30 days of the readout, the fee is credited against it.

Trust and compliance

We design integrations to support the security and privacy rules your business works under, and we build them on independently audited platforms.

How we build

  • Sandbox first. We build and test in a sandbox before anything reaches production.
  • Fail-closed allowlists. An integration runs only against the HubSpot accounts it is approved for.
  • Least-privilege access. Each integration gets only the API scopes it needs.
  • Secrets in a vault. Keys and tokens live in a secrets vault, never in plain text.
  • Sensitive data scoped early. Discovery covers sensitive data, access controls and any BAA or data-processing needs.
  • A compliance package for regulated industries: audit logging, field-level encryption and sensitive-data handling.

Rather describe it in words?

Send the systems, the direction and the record volume. We reply with a scope and an effort band within one business day.

Type any system and its version, such as Sage 300 or Sage 50. Press Enter or a comma after each one.
